POSITION OVERVIEW


The SBA Loan Coordinator is a critical operational and compliance role within the bank’s Small Business Administration lending group. This individual is responsible for managing the end-to-end processing, packaging, and closing of SBA 7(a) and 504 loan transactions, ensuring each file meets SBA Standard Operating Procedure (SOP) requirements and is submitted accurately and on time. The Coordinator serves as the central point of contact between borrowers, Relationship Managers, SBA processing centers, CDCs, legal counsel, and internal operations throughout the loan lifecycle.


This role requires a detail-oriented professional who combines a strong working knowledge of SBA program guidelines with the organizational discipline to manage multiple transactions simultaneously. The ideal candidate is a proactive communicator who keeps deals moving, anticipates documentation needs, and takes ownership of the closing process from application through funding.


KEY RESPONSIBILITIES


Loan Processing & File Management

  • Manage the processing pipeline for SBA 7(a) and 504 loan applications from initial submission through SBA authorization, closing, and funding.

  • Collect, review, and organize all required borrower documentation including business and personal tax returns, financial statements, business plans, debt schedules, organizational documents, and purchase agreements.

  • Prepare and assemble complete SBA loan packages in accordance with current SBA SOP requirements, ensuring accuracy and completeness prior to submission.

  • Submit loan applications to the SBA via E-Tran or the appropriate SBA portal; track application status and respond promptly to SBA requests for additional information or conditions.

  • Maintain organized and audit-ready loan files throughout the process, documenting all communications, conditions, and approvals in the bank’s loan origination system.

  • Manage pipeline reporting and status updates for all active SBA transactions, keeping Relationship Managers and lending leadership informed of progress and pending items.

 

SBA Compliance & SOP Adherence

  • Apply a thorough working knowledge of SBA SOP 50 10 and related program guidelines to ensure all transactions are structured, documented, and processed in compliance with SBA requirements.

  • Verify eligibility of borrowers, loan purposes, and collateral structures under applicable SBA program rules prior to submission.

  • Ensure proper completion and execution of all required SBA forms including the 1919, 1920, 912, 413, and others as applicable to each transaction type.

  • Identify and resolve compliance gaps or documentation deficiencies early in the process to prevent delays at the SBA level or during post-closing review.

  • Stay current on SBA policy updates, procedural notices, and SOP revisions; communicate relevant changes to the lending team in a timely manner.

  • Support the bank’s ongoing SBA Preferred Lender Program (PLP) or Delegated Authority status by maintaining high submission quality and minimizing repair requests.

 

Closing Coordination & Disbursement

  • Coordinate all pre-closing activities including title work, appraisals, environmental reports, hazard insurance, and lien searches; track receipt and resolve outstanding items in advance of closing.

  • Prepare and distribute closing checklists to borrowers, attorneys, and relevant internal stakeholders; follow up consistently to keep closings on schedule.

  • Review SBA Authorization documents and closing conditions; communicate requirements clearly to borrowers and ensure all conditions are satisfied prior to closing.

  • Coordinate with closing attorneys and title companies on preparation and execution of SBA-required loan documents, guaranty agreements, and collateral instruments.

  • Manage post-closing disbursement processes including verification of equity injection, review of settlement statements, and coordination with loan operations for funding.

  • Complete post-closing SBA reporting requirements and ensure timely submission of all required documentation to the SBA following loan closing.

 

Borrower & Stakeholder Communication

  • Serve as the primary point of contact for SBA borrowers throughout the loan process, providing clear and timely communication on status, outstanding items, and next steps.

  • Set accurate expectations with borrowers regarding SBA processing timelines, documentation requirements, and closing procedures.

  • Liaise with CDC partners on 504 loan transactions, coordinating the bank’s first mortgage with the CDC’s debenture process to achieve a smooth and synchronized closing.

  • Build productive working relationships with SBA district office personnel, closing attorneys, title agents, and third-party vendors to facilitate efficient transaction execution.

 

Portfolio Administration & Post-Closing

  • Assist with ongoing SBA loan servicing tasks including processing SBA guarantee purchase requests, managing loan modifications or deferrals, and maintaining required SBA reporting.

  • Support the bank’s SBA audit and exam readiness by maintaining complete, organized, and accessible loan files for all originated SBA transactions.

  • Track servicing actions requiring SBA approval and prepare required submissions to the SBA in a timely and accurate manner.

  • Assist with internal SBA production reporting, pipeline tracking, and fee income reconciliation as needed.

 

QUALIFICATIONS & EXPERIENCE

  • Two to five years of direct SBA loan processing, packaging, or coordination experience within a commercial bank, community bank, or SBA specialty lender.

  • Strong working knowledge of SBA SOP 50 10 and familiarity with both the 7(a) and 504 loan programs, including eligibility rules, loan structures, and required documentation.

  • Hands-on experience with E-Tran or equivalent SBA loan submission platforms required.

  • Experience coordinating SBA loan closings, including working with closing attorneys, title companies, and CDC partners on 504 transactions.

  • High attention to detail with a demonstrated ability to manage multiple transactions simultaneously without compromising accuracy or compliance.

  • Strong written and verbal communication skills; comfortable interacting directly with business owners, attorneys, and SBA personnel.

  • Proficiency in loan origination systems and Microsoft Office, particularly Word and Excel.

  • Associate’s or Bachelor’s degree in Business, Finance, or a related field preferred; equivalent experience in SBA lending will be considered.
